JOB TITLE: Asphalt Institute Foundation: Executive Director, Programs and Development 
SUPERVISOR’S TITLE: President, Asphalt Institute & Asphalt Institute Foundation 
FLSA STATUS: Exempt 

GENERAL SUMMARY 
The Asphalt Institute Foundation (AIF) develops and conducts strategic research and educational activities designed to advance and improve the liquid asphalt industry. It is an IRS Code 501 (c)3 public charity. While separate, it has close ties to the Asphalt Institute (AI), a 501(c)6 non-profit international trade association headquartered in Lexington, KY. The Executive Director is responsible for the management and coordination of all aspects of the Foundation’s initiatives and programs. Major Foundation activities include identifying and conducting strategic research programs; developing, soliciting and implementing fundraising activities; and advancing student educational opportunities at the collegiate level. The Executive Director assists the Foundation Chair, AIF President, and AI staff directors in the management of foundation programs through the work of its volunteer Board of Directors, committees, and task forces. The Executive Director is an employee of the Asphalt Institute for compensation and benefit functions. 

ESSENTIAL JOB FUNCTIONS 

  1. Responsible for programmatic oversight of the Foundation’s mission and functional areas. This includes managing both the long-term and day-to-day activities of the Asphalt Institute Foundation. Supports Foundation initiatives set forth by the Asphalt Institute Foundation Board of Directors, its Chair, and its President. 
  • Establishes and implements opportunities to build the Foundation’s endowment and enable funding of ongoing Foundation programs. Responsible for soliciting potential donors and sponsorship opportunities within the scope of the foundation’s fundraising initiatives. Develops and maintains relationships with all AIF donors and potential donors. Supports the Development Committee in donor development activities.  Assists in the development of innovative fundraising campaign(s) to broaden the donor base and enhance AIF visibility to an external audience. 
  • Directly responsible for the planning and execution of all fundraising activities surrounding the Institute’s Annual Meeting, including but not limited to the reserve tables program and golf scramble fundraiser. 
  • Enables mission accomplishment through oversight, collaboration and tasks delegation of the Foundation’s key programs, including its educational programs (intern program Kirk Scholars, Asphalt Technology Modules), and strategic research (funded strategic research projects). 
  • Maintains donor records using association management software and other donor tracking tools. Coordinates directly with the Asphalt Institute Finance and Accounting Department to ensure accuracy and timeliness of all donor related actions. 
  • Communicates through effective development of the Foundation’s website, annual report, interim reports to donors and supporters, donor acknowledgement correspondence, and other communications as part of the AIF communication plan. 
  • Seeks and evaluates grant opportunities that potentially support the Foundation’s mission. Applies for grants on behalf of the Foundation. Identifies and solicits sources of funding from other public or private funding resources. 
  • Collaborates with the Marketing and Membership team to develop and implement marketing plans and activities for specific projects and programs of the Foundation. Creates AIF promotional materials by coordinating their development either within the institute’s own staff or managing external sources. 
  • Develops the annual budget for the Foundation. Upon approval, will be responsible for program execution and budget management. Works closely with the Asphalt Institute Finance and Accounting Department following established financial policies. Ensures all fundraising practices comply with accounting standards, State and Federal regulations, and established Foundation policies and procedures.

SUPERVISORY RESPONSIBILITIES 

While this position does not have direct reports, the Executive Director works closely with staff in all other departments of the Asphalt Institute. Supports Institute policies and serves as a leadership role model. 

KNOWLEDGE AND ABILITIES 

A bachelor’s degree or higher in a field conducive to fundraising success, business administration, nonprofit management, or related field required. Exceptional written and oral communication skills are required. Exceptional coordination and diplomacy skills are required. Proficient computer skills are required. Donor database or association management software experience a plus. 

EXPERIENCE 

Ten (10) years of experience working for non-profit organization(s) preferred, with fundraising, program management and marketing experience a plus. 

OTHER REQUIREMENTS and CONDITIONS 

Position has no unusual physical demands; however, it does require commercial airline and automobile travel principally within the U.S. and Canada. Travel is expected to be less than 10 percent of the time. A valid US driver’s license is required to maintain the position. 

An office is provided for the position in Lexington, Kentucky. 


JOB TITLE:                             Asphalt Technician                
SUPERVISOR TITLE:            Laboratory Manager & Sr. Research Scientist   
POSITIONS SUPERVISED:  None
FLSA STATUS:                      Non-Exempt, Full-Time (40 hours/week)            

GENERAL SUMMARY

Under administrative and technical supervision by the Laboratory Manager & Sr. Research Scientist, conducts a variety of activities in the Division of Research and Laboratory Services, including testing and reporting results of testing on the properties and uses of asphalt materials. 

ESSENTIAL JOB FUNCTIONS

Under administrative and technical supervision by the Laboratory Manager & Sr. Research Scientist:

  1. Operates and supports the use of laboratory testing apparatuses. This includes device calibration as well as specimen preparation and instrumentation. Prepares lab results for further analyses in the following capacities:
  1. Asphalt Binder and Emulsion Independent Assurance (IA) Testing – routine laboratory analysis for asphalt material certification.
    1. Asphalt Binder and Emulsion Research – project-based tasks centered around national, industry, and internal research initiatives.
  • Develops and maintains proficiency in asphalt materials test procedures. Conducts testing related to these lab procedures with the need for only moderate supervision.
  • Maintains and is responsible for the maintenance, organization, and cleanliness of the laboratory and laboratory equipment. 
  • Contributes to maintaining AASHTO Accreditation for the Asphalt Institute Laboratory by conducting verification and calibration of equipment in the Asphalt Binder Laboratory, participating in training and procedural reviews, and preparing for inspections by AASHTO re:source.
  • Coordinates with equipment and material suppliers and mechanical contractors to successfully implement new laboratory equipment and test procedures.
  • Provides laboratory support to Asphalt Institute training initiatives as needed.

KNOWLEDGE AND ABILITIES

At a minimum, a high school diploma or equivalent is required. A bachelor’s degree is preferred.  General computer skills are essential, including familiarity with standard Microsoft Office (Word, Excel, Outlook) products. Must be self-motivated and have the ability to work in a team-oriented environment.  Strong personal organization and multi-tasking skills are also beneficial, as is the ability to handle normal workloads with minimal supervision from the Laboratory Manager.  A valid driver’s license is required.

EXPERIENCE

No specific work experience required. Must be at least 18 years of age as work is in a laboratory with daily exposure to the potential hazards of laboratory chemicals and testing equipment.

PHYSICAL DEMANDS

Position has no unusual physical demands; however, there is routine exposure to the potential hazards of laboratory chemicals and testing equipment. Sufficient manual dexterity is needed to operate personal computer keyboard and testing equipment. Sufficient strength is required for routine lifting of laboratory materials and equipment.  Extended periods of time will be spent standing/moving about the laboratory.  Required to wear personal protective equipment (PPE) as supplied by Asphalt Institute, which may include gloves, safety glasses, hearing protection, lab coat, and lab-appropriate footwear.

Timely attendance is a requirement since the position generates revenue for the Division.  

This position is not expected to require any business travel.
